Tips & gotchas

• THE CITY'S OWN LINK FOR REQUESTING A BUILDING INSPECTION LEADS TO A PAGE NOT FOUND. The "Building Permit Inspection" item redirects to /doing-business/inspections, which the site itself answers with "Page Not Found...". Checked twice on 2026-09-20 with the same result, so this is reproducible rather than a transient error. The working route is the eTRAKiT portal's Inspections section. This is the kind of defect that costs a contractor a phone call and a delay, and it is invisible to anyone who reaches the portal by another path.
• CONTRACTORS REGISTER BY CLICKING "FORGOT PASSWORD", AND THE PORTAL MEANS IT: "*Contractors: click 'Forgot Password' to register as a Contractor". Nothing about that button suggests registration, and a contractor who reasonably clicks "Setup an Account" instead ends up with a public user account rather than a contractor one. It is the single most counter-intuitive instruction encountered in this corpus.
• AND "CONTRACTOR" HERE MEANS EVERY DESIGN PROFESSIONAL: "*Contractor accounts are for all design professionals, such as, contractors, developers, surveyors, engineers, architects and other professionals." An architect, engineer or surveyor who reads "contractor" literally will choose the wrong account type - which compounds the previous problem, because the right route is also the one nobody would guess.
• COMMUNITY DEVELOPMENT IS CLOSED TO THE PUBLIC ON FRIDAYS, and the city publishes a page specifically to explain Friday coverage. Read that page carefully: it opens by saying departments are open on Fridays, then names two that open on alternating Fridays, then states that "The City Attorney's Office, Community Development & Public Works are not open to the public." The sentence order makes it easy to stop at the first line and conclude the opposite of what applies to Building.
• eTRAKiT IS LIVE HERE, AND THE PRODUCT NAME IDENTIFIES NOTHING ON ITS OWN. Across records added in this batch eTRAKiT is live in Napa, Vacaville and Santa Maria and retired in Richmond, while Hemet runs BOTH TrakiT and eTRAKiT for different purposes during a migration, and Fairfield has replaced TRAKiT with something called BUILD. Five cities, one family of product names, five different situations.
• NO DIRECT PHONE NUMBER FOR THE BUILDING DIVISION APPEARS ON THE PAGES READ - only the general City number, (805) 925-0951. Combined with a broken inspection link and a Friday closure, the absence of a direct line is the most awkward gap here: the two things most likely to need a call are the two things hardest to call about.
• THE PORTAL IS THE PRODUCT, NOT A SUPPLEMENT TO IT. The city's "Apply for Building Permits" link does not lead to guidance - it leads straight to sntm-trk.aspgov.com. There is no intermediate page explaining what to prepare, which requirements apply or what a submittal must contain, so the portal's own instructions document is the only preparation material this record found.
